Deleting Fields from Forms

I’ve been making a lot of logical changes to several forms on a system. Because of these changes I have eliminated a lot of redundant fields from a form. Currently our archive process takes all the forms and copies them to an archive database.

If I delete the unused fields from the form will it destroy some of the archival documents which used the old style of the form?

There are over 300 unused fields on teh form now!!!

Thanks,

Gil

It shouldn’t. Deleteing the field from the dorm does not remove the data from existing documents (only new documents). I lots of cases I create fields in documents that never appear on a form. The form definition simply is the filter through which the document is viewed. The Document (or technically actually the Note) contains the data, the form contains the format for the data. I can view the same data using several different forms by using the Form Over-ride. The difference between a Form and a Document (Note) is something that confuses a lot of people at first.

If I have a form CTE which contains fields: Test1, Test2, Test3 and Test4 in NSF Archive. I also have the same form CTE with fields:Test1, Test2, Test3 and Test4 in NSF production. If I delete Fields Test1 and Test2 from NSF Production and copy the production forms from Production to Archive it won’t make the old CTE forms in production which had Test1, Test2, Test3 and Test4 no longer show Test1 and Test2?

How could one actually view a Note or can’t you?

Thanks,

Gil

When you remove the fields Test1 and Test2 from your form in production and archive, the notes that you’ll create from that point on will not contain the fields Test1 and Test2. The notes that were created prior to your modification of the form will still contain the fields Test1 and Test2 but will not be visible when you open the note with the new form.

David,

How does one view a “note” vs a “form”? At least the data will still be their behind the scenes.

So if I added Test1 and Test2 back to the form the data which was originally in those in the old notes would be visible on the form again?

Thanks!!!

If I understand your question right, you’re asking if the data of the deleted field will be destroyed after you delete the field from the form. If you just remove the field from your form, that won’t delete the data in the documents that have the field saved in them. To do that, you’ll have to create an agent that’ll remove the item from the document with notesdocument.removeitem()
