I want to set a rule in a Notes 8.5.1 mail file whereby an email is forwarded to an external address and the message is then deleted from the mailbox automatically.
This is effectively using a mailbox to perform a simple onward routing task for a specific user and I don’t want the mailbox to grow and grow with the messages that have been received into it and then forwarded on. I want them to vanish once they have been forwarded. A rule can be set to mark them 'expired. but I guess I then need an agent to delete all those so marked?
Use the forwarding address option in the user’s person document and then you don’t have to worry about mailfile size.It will forward all mail address to the user to the address listed in the forwarding address field.
Suggestion was: "Have you tried to “send copy to” and “delete (don’t accept message)” ? on the aera “perform this action”
Annoyingly, on the 8.5 template at least it won’t let you do that. It ought logically to be possible to perform a rule-based action and then have the rule completely delete the item (MS Exchange rules do allow this), but it simply complains that “You cannot include Delete Document in multiple actions.” However, you can set an ‘Expire’ date - though I’m not clear what the impact of that is.
I’m going to try the first idea anyway which is to use the ‘Forwarding address:’ field in the Domino Directory. And then look at the deletion Agent idea.
