We recently moved to a new facility. I had to remove the three sites and all the rooms from the old facility and add four sites (the four floors of the new building) and rooms, etc. now available. Everything went exactly as expected – except for one thing:
In a new meeting document, the “Find Room or Resource” button shows both the new sites AND all the old sites. None of the old rooms show up, but these sites do. They have been deleted out of the Resource Reservation database and no longer show up there or in the NAB. Where the heck are they hiding and HOW can I get rid of them??

Actually, the strange thing is that we do NOT see the sites in the list in the Reservation database itself. We see them ONLY through the invitation popup for choosing a room.
I’m the Administrator, so it’s not a question of something I’m not allowed to see.
I figure they are stashed in a view list somewhere, but I simply cannot figure out where it is. The new sites were added automatically – why weren’t the old ones removed?

We don’t use favorite sites, since quite frankly, we’ve only got four or them. And this is a global issue; everyone who has the ability to reserve rooms is seeing it.

the available sites and rooms are pulled directly from names.nsf, not from the resource res. db. If you deleted the sites/rooms from thr resource res db then you have o approve the deletion requests in adminP so it removes them from your names.nsf as well. the room picker in a calendar doc displays the ($Rooms) view from your names.nsf. This is a hidden view, to view hidden rooms hold down Ctrl/Shift then go to View > Goto and select ($Rooms). HTH

I did approve all the resouce, room and site deletions; that’s why this is SUCH an annoyance. The $Rooms view is fine.
When I look at the form for New Meeting, the Site field is $Site. Now remember, this is in the mailfiles. If you reserve through the Resource Reservation database, you get only the expected sites; none of the old ones. So… in the mailfile calendaring documents, where is the info to populate the $Sites field coming from???

the Scheduler pop-up is a DialogBox that uses the (Room Resource Scheduler) hidden subform. The Site field’s keyword list is built in the subform’s QueryOpen event which does a lookup to the hidden ($Rooms) & ($Resources) views in names.nsf, depending on what you’re reserving. Go open both of those views and see if there are any resources that show up in these views under the Site that you’d like to get rid of. If that’s not it then maybe the list is pulling from another address book; you’d need to check the tmpAddressBooks field to see what address book is being used in the lookups. One more thing to check: it’s possible that there is a rogue room document that you cannot see ($Readers field locking you out). Try enabling Full Access Administrator for yourself and then check the views again.

It was in the (Room Resource Scheduler) subform, all right. However, it appears that the site field’s keyword list was hard-coded into the template! It appears to have picked up the new sites, but because the first of the three old sites was the default, they never got removed. I have to talk to the Server Administrators about changing the template and then updating all mailfiles, but I think that’s going to do it!

You have checked two things:
Check Administration Requests ( Admin4.nsf) in folder Requests ------> All Request by Action ------> Delete Resource, if you find some in there, you may need to approve the actions
Open the Resource DB, hold Ctrl and Shift key, mouse select View ------> Go to…, select $side hide view, if you can see some old side in there, you can delete it in here, then waiting or an couple of hours for system synchronize.
