Database size doesn't decrease when documents are deleted

Dear all,

When we delete mails form a mail database, the size of the database doesn’t reduce at all. I have the feeling that deleting a document just make it “not visible” but the information are somehow still in the database.

It is not due to the soft deletion process as the trash is empty too and as we have waited some days to see if there is an automatic cleaning during the night maintenance.

The most significant example is the following: a mail database has been filled with tonnes of mails, thus reaching 700Mo. Then everything has been deleted except approximately 10 mails. The size is still 700Mo. No change.

This leads to a big problem: each mail database is indefinitely growing, although the users delete or archive a part of their mail.

If you use the R5 mail template, the trash won’t show the soft deleted documents, so do check the Soft Delete option if you use an R5 template.

Otherwise, compact the database as described by the others.

Deleting documents doesn’t remove them from the database - it marks them as deleted and makes the space available to be overwritten - similar to deleting a file on your HDD. The ‘white space’ that is created by the deletions is supposed to be used before the file size is increased, but this isn’t always the case.

The way to recover that space is to compact the database using the parameter for File Size Reduction - look up the Compact task in the Administration help and go through the parameter options.

Have you compacted the databases?
