Dear,
We have following issue with DAMO version 6.5.3 / 6.5.4:
To archive emails in the Outlook client we make use of a .pst file locally on the workstation of the user. To Archive messages the user just drag and drop the mail from the inbox to the “Personal folder”. The message is moved to the “Personal folder” at that moment. We expected that the moved message also will be deleted from the server mailbox at the next synchronization. This is not happening; the replication does not seem to send this information to the server. The moved messages are not deleted from the server. Any ideas? Is there a better way to archive? Help appreciated.
Kind Regards,
Wim V.
Subject: Local Archiving
Hi Wim,
Among the many improvements offered by DAMO 6.5.5 is local archiving. The DAMO 6.5.5 prebeta has been available and can be downloaded. This is a description of 6.5.5 local archiving:
The size of server based mail files can be controlled by local archiving. This is the process of removing email documents from the mail file and storing them on the user’s local workstation.
Auto Archiving
Domino Access for Microsoft Outlook (DAMO) 6.5.5 and later uses Outlook’s native Auto Archiving capability. The steps for setting this up can be found in the Outlook on-line help.
-
The archive pst file will be created during the process of setting up Auto Archiving. The file name will be “archive.pst” and the title as displayed in the navigation pane will be “Archive Folders”.
-
Age based cleaning up of documents is based on the modification date, not the creation date of those documents.
Manual Archiving
The manual steps to do this with Domino Access for Microsoft Outlook (DAMO) 6.5.5 and later is:
With the Outlook/DAMO client open, create a local data file.
Outlook 2003 and Outlook 2002 (XP)
File->New->Outlook Data file… Choose the file format->Ok Provide a file name and a path.
Outlook 2000
File->New->Personal Folders File. Provide a file name and a path.
Add the archive pst to the Navigator shortcuts.
Outlook 2003 and Outlook 2002 (XP)
File->Data File Management and create the archive data file
Outlook 2000
Tools->Services and add an Outloko Personal Folder
Create folders as necessary in the local archive and drag and drop email documents to those folders.
Note:
-
For this functionality to work, it is important that the shortcut to the archive be on the Navigation pane.
-
Although the email documents wil be removed from the local, primary pst file, they will not be removed from teh server based mail file until Outlook/DAMO is restarted.
-
If a document has been archived while travelling or a period when the Outlook/DAMO is not connected to the server, the documents will be removed from the server based mail file when the connection is reestablished.
-
Items removed from the mail file and into the archive file can be moved back to the mail file using drag and drop.
Thanks, Mike

Subject: RE: Local Archiving
I’ve been testing DAMO 6.5.5 beta today.
The mail rules seem to work just fine.
I’m playing with the archiving and I can’t get it to work.
I’ve read through the forums here and it appears that what I’m experiencing is what occurred in 6.5.4. The folders are created in the archive, and I see the archived folders in the navigation panel, but none of the documents are.
Reading Mike’s post in this thread with detailed instructions made me wonder something.
I started this testing on a fresh install of Outlook 2003, and fresh install of DAMO 6.5.5. The test mailbox that I’m using has documents in it from March. When I installed DAMO on this machine today, all the documents from this mailbox were pulled down onto this machine.
Mike indicates that archiving is from the last modification date, not the creation date. Could the archiving not be working for me because all of the documents would have been created today (the day that I pulled the docs down) versus the dates they were created (beginning in March of this year moving forward) ??
Does my inquiry make any sense?
I tried to manually archive documents older than yesterday with no luck.
Thanks.
Subject: RE: Local Archiving
Prior to DAMO 6.5.5, any documents that were archived were not removed from the mail server. This has been resolved in 6.5.5.
Unfortunatly, the mechanism that decides what documents are archived is controlled by Outlook and is based on the object modification date. This date is automatically updated by Outlook whenever we touch the document, so after initial replication this value is updated causing these items not to archive unless the archival date is after the initial replication. I will look into this and see if there is something we can do to fix it.
In the meantime, you can drag and drop items to the archive folders message store and they will be removed from the mailfile on the server. (Prior to 6.5.5, messages moved to another message store by any means were note deleted).
Thanks
