One of our users has a large mail file with multiple indexing by subject. I want to make it smaller and he wants it split into several files by date e.g. containing 2 years of messages in each “archive”
Is there anyway of doing this apart from making several copies of the mail file named for each time period and then deleting messages / calender items etc that do not relate to that period?

What [we] do is that we divide the content into old and new, keep the index on both files and allow the end user access to everything from the mailfile. The old content does not need to be backed up often and has an index that does not change much (do the split only once every 30 days).
Subject: Built in Notes Archive - By Date???
You can use the Lotus Notes built in Archive to Split out the Mail file. If you do this byt date will will save time and effort. Also the client will do the work and not the server meaning that there will be no more ,oad on the server. Be warned that it may take some time depending on how large the mail file is.
Once the Archive is configured it will also create a link from the Notes Client in the users mail file under Archive etc.

Thanks but this looks like it will be quite difficult to refer to archived messages if needed?
Or can you simply open this as a Notes database and find the mail file architecture intact?

The whole folder structure is maintained at the time of archive. The folder structure will not change. As you are doing it by Date (ie the split) this should be easy enough for the user to find things.
