I have a question on creating an archive.
How is this done manually? And is this also possible on a mailin database?

The procedure for creating an archive is documented in some detail in Notes 8 Help. Look for the topic “Archiving mail messages to free up space”. Users can set up archives themselves unless prohibit by a policy.
The archive process can be used for any database, so yes mail-in databases can be archived.
