Color Messages

Hello,I am looking for a way to color messages sent to others. For example we have a Help Desk that needs to sent email announcements. They want have it so the recipients receive these messages with the text in the inbox view different colors based on severity. Is this possible. Maybe with view icons?

If you look at the formulas for the icon column, you’ll find that they reference some item name such as _ViewIcon. You can probably assign this item in your outgoing email and the user’s mail file will not overwrite it. This should work so long as the message stays in the Notes mail system – an internet mail gateway will fail to copy it into the converted MIME message.

You CAN edit the Inbox folder of the mailtemplate to colorcode based on values in the documents, but I strongly recommend You NOT to touch the mail-template! (For MANY many reasons…)

I would instead colorcode entries in the HelpDesk application and force users to look into the application for severity of the issue.

Color coding of mail is a function of the users’ Preferences and not something that you can directly control when you send a message to them. If it is controllable, you will have to modify the mail template for all of the people that receive those messages.

And then what happens if you pick a color that one person uses for messages from ?

Even with view icons, you will have to modify the mail template. If you expect this to impact a large portion of your user base, then I would consider this. However, if you make a change to the template, be sure to document it. Upgrades will wipe those changes out.

Then again: are all the mood stamps really used within the organisation? I almost never encounter a company where they all are used (mostly not used at all). So maybe you can just assign an icon to a certain value (if there are just a few).
