Hi,
in what form do you have the username in the field?
It should be in there in full hierarchical form.

Subject: RE: Author field
Author field is in the form in which I am populating the data thru agent.
Currently user name in the author field is in [CANONICALIZE] form. Should it be in [HIERARCHYONLY] form.
Subject: RE: Author field
hmmm… no
[CANONICALIZE] should be fine…
Subject: RE: Author field
It is [CANONICALIZE] but still i m not able to open it.
What is the problem. Even I am populating the username into the Authors field.

Hi,
You can check for that user’s ACL level for the db, it should be reader or above to able to read the document.
Subject: RE: Author field
That user is Author level.
Subject: RE: Author field
If the Author field is being populated by an agent, the agent needs to set the Author properly of the field.
As the form’s design is not being used to create the backend document, the fact that you have the field marked as an Author on the form does not effect the documents created by an agent.
Look at this forum’s FAQ for the The Complete Reader and Author Field Troubleshooter article.

Thanks for replying,
Actually agent is setting the username properly in Author field. It is showing the user name in the Author field.
What else can i do? How this problem would be resolved? Please give some guidelines.

You have to make sure that when your agent is setting up your “Authors” field that the field is actually saved with the Authors flag enabled. If you look at your document properties (from a view) and check your authors field I’m betting it’s set as SUMMARY. It needs to be SUMMARY READ/WRITE ACCESS NAMES. When creating your field you need to create a NotesItem object that points to your field and set the IsAuthors property to True.
Look in the help for specific details.

Hi,
Since you are stamping the Authors field thru backend process that will not be considered as a “Authors”
field. It will consider that as “Text” field. So, that was your problem. While stamping the username in “Authors” field just add one line of code
(yourItemName).IsAuthors= True(you have to explicitly set that item to “Authors”)
Sample code
dim AuthorItem as notesitem
Set AuthorItem = New NotesItem( EmpDoc, “DocAuthors”, “Here let us consider you are including username”)
AuthorItem.IsAuthors= True
