Author field - no access for certain users

Ok, I just saw the strangest thing.

I created a doc with readers and authors fields. The reader and authors fields are computed from various name fields in the doc.

E.g. I have a field called “manager”, if you put a name in, that name gets computed to the authors field giving the person author access to the document.

Formula for the authors field

“[Admin]”:@Name([CN]; Manager)

Now I have all but 2 of the users working. That is 2 out of couple hundreds. They are not on a different account (same address book) or have a different Pc environment etc. Same standard operating environment as the rest.

I tried just setting the manager field to author field instead of name field. Same → works for all but these 2.

I am scratching my head as to what else to do!

Any suggestions?

I have found the source of the error.

It was to do with having 2 databases with the same replica ID.

We have 1 Test Db (with the same replica ID) residing in the same machine.

Long story short, the user only had the test db in the workspace and my guess is that LN dived directly into that DB (same replica ID), instead of searching for the right ID AND the right path.

All is fixed now.

I am pretty sure I have mastered the reader/author concept (spent my twilight hours reading the forum)

word of warning, I would not recommend using only the common name in readers/authors/names fields. 2 reasons come to mind, if adminP runs against the field and changes the name it will become canonical and if the server the db is on is certified by a different org cert than the user then the user will not be able to see the doc(s). Example:

APP1/SERVER/ACME

Joe Doe/USER/ACMEINC

Joe Doe will not be able to see any docs if his name is in a readers field as “Joe Doe”

Could you please explain this concept a little further?

“if adminP runs against the field and changes the name it will become canonical and if the server the db is on is certified by a different org cert than the user then the user will not be able to see the doc(s).”

if adminP (who is APP1/SERVER/ACME) opens and saves the doc (updates the docauthors field) then Joe Doe (Joe Doe/USER/ACMEINC ) will not be able to see the docs?

My docauthors field is concatenated:

Basically fieldA can be changed and this will update the authors field.

Should I justmake fieldA and fieldB authors field rather than concatenating fieldA, fieldB to 1 authors field?

I tested with Canonical and Abbreviated before:

e.g.

Joe Doe/USER/ACMEINC

CN=John B Goode/OU=Sales/OU=East/O=Acme/C=US

But these formats did not get “recognized” but Lotus Notes, i.e. person cannot see the documents. When I set the format to CN, it worked …

I will try again …

Thanks Paul,

I found out if I use canonical, depending on the user, the output is sometimes like:

Joe Doe/USER/ACMEINC@Americas

In this instance, the readers field does not work. I.e. Joe is unable to see the document.

If I use [CN], then he can see it.

This is a bit frustrating for LN noobie like me!

Yes, I have read the page.

What I am encountering right now is weird!

I tried different name formats (like CANONICALIZE) but no go.

Only 2 users out of hundred cannot see the page.
