Archiving on server : sick and tired of it

Archiving on server for mailfiles sucks… I’ve been struggling with this for a year now and I’m sick and tired of it. I’ll list some of my problems :

  • Shared/private on first use views probably screw up archiving (Invalid parameter passed to a policy management function)

  • Although we have Archiving policies, archive databases are created everywhere on the server, because sometimes people are able to enable some of the default policies that come with the mailtemplate (or for new users, these are enabled by default )

  • the new Archive button in the iNotes web client points to the wrong file for most users (now how hard is it to do this correctly ? not very I should think)

  • According to the help, you must enable in the configuration document, serverbased archiving for iNotes users, but then iNotes users can edit the archive settings (when they should just use the policy of course)???

  • Why can’t I set a Default Archive location? Why do my users can change the location of the archive ? I don’t see much point of having 2 separate active archives on the same server …

It just doesn’t work… Why have policies, if the mailtemplate overrides them, or if the iNotes user can override them ?

Any of you have similar experiences ? Plz. let me know I’m not alone here …

The biggest problems I can see are either from centralizing or decentralizing the archiving process.

If I am interpreting you correctly you really want to centralize the process, but IBM allows either to be used.

Might I recommend this, you seem to have a grasp for the policies and how they should be used. Why don’t you just block users from creating their own archive database on the servers AND create their individual archive database at the time their mail file is created. I found this smoothes out the process. On the private views if you are allowing people to make changes to their database (by adding private views), this will complicate things. I can’t think why one would need to have a private view when each user can create folders. I looked at the views IBM provided and it appears the views are shared. If you provide an example or how you found users with private views. One note though you can stop private views by not allowing personal folders/views.

Remember IBM is trying to allow both centralize and decentralize ways to archive, but as administrator I would say if you take on some of the ownership you will not be as stressed.

I’ve got a centralized setup. Users are not allowed to create their own settings according to my policies! That’s the whole point - it just doesn’t work (because they actually CAN edit their archiving settings)…The problem with new users is, that the mailfile inherits (anyway I think it does) the default archiving settings, and enables them as well - my policies don’t change anything here. I’ve solved that by creating an agent that edits all archiving settings to drop the defaults … This shouldn’t be necessary.

I’ve got private views (shared, personal because of some user’s questions, I’ve added these to the template), because some users use the Notes client (and iNotes) at the same time.

So I should have FULL ownership of the archiving process, but I haven’t …
