We have a mail-in database, named “The XXXX emailing database” and address is "theXXXX@abc.com"Now we are going to assign a user to use that mail database by switching Location in the Right-Bottom corner of Notes workspace. But to that we need the id file. So how can i get the id file for the mail-in database?
Or please suggest an easy way.

Hi Haseeb,a mail-in database has no user-id. To use it you would not use the switch location function. If a database has exactly one user you would configure it as the mail database for that user.
What you typically would do:
-
Add a group into the ACL of the email database that contains the users that should work on the database
-
Add the database as a bookmark
-
Edit the profile of the mail in database to set the owner to your mail-in name, so replies are seen as originating from that name.
That’s all!

Thanks for your solution. But the main reason we r going to do that is, that perticular email database is used to broadcast news/events. And there r almost 900 recipients. so, if there r any bounce back mails, they all come to personal mail database rather than the mail database used to send.
So we decided to switch to a different user.id and use the email database to broadcast the email.

Do don’t do spam? What you can do:
If you set the ReplyTo address found in Delivery Options - Advanced you can direct the bounces/replies. For a mailing db you can modify the code to have a default.

so long as the mail file owner is specified as the mail-in database name then bounces will go back to the mail in database - feel free to check.
easiest way to setup ‘accounts’ like this is as follows;
-
create a mail file
-
create a mail-in database document, use a heirarchical name, ie ANZ Marketing/OrgUnit/Org, add an internet address (eg, anz.marketing@mydomain.com), set the mail file to the one you created at step 1.
-
open the mail file you created at step 1 and set the owner to the heirarchical name from step 2 (it should be in the address book already), modify the acl to include anyone who needs access.
-
from the action bar click on ‘new memo’ and send a message to an internet address. when you create the message you will see that it’s from ANZ Marketing but sent by your name. when the person receives it at the other end they won’t see your name (unless they dig deeply into the headers) and any replies will get sent back to the internet address you specified at step 2.
thats it, no location changes or id changes required. you can create an id file for the mail file if you use temporary people for the role and you don’t want to create individual id’s but this can be a security risk if you don’t change the password every time they leave and you get a new person.

Hi,
When you send a memo from a mail database, the sender is added (under the owner of the mail file) in the memo.
example:
User Test/Organization
Sent by: Arild Eidesund
When people are replying to this email, the reply will be sent to the owner of the mail file (User Test/Organization)
The owner of the mail file is by default the user who created it, and can be changed by clicking Tools-Preferences, then Mail tab, Basic tab. There is a setting that says: ‘This mail file belongs to’. Here you can change to a user in the Address Book. The user cannot be a group, because the name needs to be hierachical. Create a person document for this database, set the created database as the mail file for the person, and set this person to be the owner of the mailfile as described above.

Arild Eidesund
