I am slowing rolling out client upgrades, and one of the next few users to be upgraded is the company president who deletes NOTHING
His email file is around 650MB and I’m a bit nervous on the upgrade of his client/mail file.
The precautions I plan on taking are:
-
copy his email file out to another location on our iseries (we replicate mail files locally)
-
copy his entire local data directory out to the network server
-
pray a bit
-
upgrade the client then mail file (after running a compact and fixup)
Anything else that anyone can think of for a cya please feel free to let me know

teach him abour archiving:-)
Subject: Could you please outline what is making you nervous?
What are you upgrading him/her to/from? Are there others that access his/her mail file for things like mail and calendar delegation? If so, are you upgrading them as well?
Subject: forgot – upgrading from 5.0.12
Plus he has a ton of folders, he is very good about moving out of the inbox into the folders, but as I mentioned never really deletes anything.
I think the size of his mail file is just part of what makes me nervous
Subject: RE: Could you please outline what is making you nervous?
Just a general nervousness I guess. I have done a few upgrades that seem to corrupt the bookmark.nsf and that seems to be quite difficult to get back working, I generally have to replace design a few times. Unsure what caused that on a few of my upgrades.
He is just not a patient user, and I would rather try to rule out any problems before I begin his upgrade. I know that I will only be alloted a certain time frame to get his upgrade done too.
He does not share his mail or calendar (he won’t give up organizer for notes LOL).
Thanks for any ideas
Carol

Why do you not answer his question about oldversion and newVersion?
Subject: lots of folders…
This is not with respect to your upgrade, just a general use comment. I’ve found that many users try to organize things via folders… but that is because they do not know how to use (or ever about) full text search. For example, I have very few folders, and instead search for items via the all documents view using full text search.
Subject: RE: lots of folders…
Actually folders are a great thing. If you keep everything in your inbox it:
-
Means you need a full text index which could potentially be MASSIVE … much bigger in disk size than the mailbox itself.
-
Everytime your inbox is refreshed (for new mail etc etc) it has to drag down more information for an inbox will loads of emails in than one with none or very few.
Folders are a great thing.
Subject: Its a personal preference…
I don’t keep all my email in my inbox, I keep most things in just the all docs view as I mentioned.
Subject: Inbox is blown away from my experience
I’ve upgraded clients from both r4 and r5 and in each case when upgrading to r6 all documents are removed from the Inbox folder. The documents remain in their All documents view of course. Since it wasn’t a major issue I haven’t investigated why this happens or if there is a work-around, but it may be an issue for him.
Subject: That IS NOT the expected behaviour…
Did the folders have “Prohibit design refresh or replace to modify” checked off?
Subject: This only concerns the documents IN the INBOX folder
Prohibit design refresh was not checked. The design was updated properly;however, the documents in the inbox are removed (not deleted). It’s happened about 50 times to both r4 and r5 upgrades to r6.0.3 and r6.5.1. I assumed everyone is seeing the same behavior.
Apparently the refresh must have a different indicator for what documents show in the inbox. Agree?
Subject: RE: This only concerns the documents IN the INBOX folder
We are experiencing this problem and it is causing us much grief with our R6.5.1 rollout. We have opened a Sev 1 with Lotus but have received little help. We are also seeing corrupted Bookmark.nsf files.
Subject: This should NOT be happening, ever. Do you have another folder in the mail file named inbox?
Subject: Nope. This is across several clients all using standard templates (iNotes)
Maybe the key here is iNotes. refresh an r4 or r5 standard or inotes mail file with an R6 iNotes template. Inbox blown away. You are motivating me to research this.
Subject: update - you can’t refresh design you have to replace
I WISH I could use Notes for this db so i can post a DocLink but my support request from months ago was never responded to. It’s painful using this on the web
Anyway, here is the technote about refresh vs. replace causing the issue I mentioned.
Title:
Inbox view missing mail after changing design template
Product: Lotus Notes > Lotus Notes > 6.x
Platform(s): Windows NT, Windows 2000
Document Number: 1114655 Date: 07/16/2003
Subject: you can access this via Notes.

Are you saying you mailed your safe ID but never heard back?
Subject: i sent an issue to LNN long ago…never heard back
My server is xcertified and I can READ the db but not author a new doc in Notes.
Your document indicates I need to use a notes client. Some of us BP’s have servers and live on Notes. Don’t tell me it’s a client based service only (if so tell me why).
(maybe outlook will work too!?..grrrrrrrrr…this is frustrating and wastes a lot of time)
Subject: Any recommendations re: client upgrade for company pres?
I wouldn’t worry too much. In the insurance industry we have loads of huge emails flying about. At least 12 of our brokers have 1.5gb mailboxes and refuse to delete or archive a single email.
The folders upgrade thing is the only worry I would have. Make sure that you get it right!!!
