8.5.2 R&R Add a Calendar

So we just upgraded servers to 8.5.2 and I am attempting to try out the new ability to view the Room and Resource Calendar as an “Add a Calendar” option in the Notes client.

Steps taken:

Updated the design of the Rooms and Resources db to 8.5.2 and added the Calendar via “Add a Calendar” in the Lotus Notes Client

Selected $Calendar as the view to use. Nothing shows up. No errors just no data.

Has anyone had success with this yet?

Any feedback appreciated.

Subject: Use the 8.52 template

Make sure you also replace the design of the R&R dB with the one from the 8.52 server. It has the necessary view items that Federated Calendar needs. (Dont forget to re-enable your 4 “system” R&R Agents after you replace the design too!)

I just added one of my test rooms and it shows up just fine in my Calendar:

I replaced design with the 8.5.2 R&R template and I added the Calendar. What shouls I be seeing? Rooms which I have booked? All booked resources?

Any clarification would be helpful. Right now I am seeing nothing.

Subject: Step by step

The original question was about how to “view the Room and Resource Calendar as an “Add a Calendar” option in the Notes client.” That works in 8.52 as long as you make sure you have replaced the R&R dB design with the 8.52 R&R template.

Here is exactly how it works and what you will see:

1: Start in your Calendar with no R&R names added:

2: Click on “Add a Calendar…” and fill in the name of the room you want to add to your Calendar. In my case I added my virtual test room 9999 - Testing Only/Iris and made it red:

3: After clicking on OK the room is added to my list of Federated Calendars and the existing reservations for that room are now overlaid into mine:

Using this you can easily see the existing reservations for any room in your Calendar (as long as your are not blocked by room settings).

If you follow these 3 easy steps then you should have no problems viewing R&R data on your own Calendar. If you do have problems then the first step is to make sure the R&R dB is using the 8.52 template since the info needed to do this was missing in earlier templates. If you are using the 8.52 template then make sure you are able to see data in the R&R dB itself first. If you are blocked from that (eg: your Admins have locked out “direct” access) and the room you want is restricted (and you are not on the guest list) then you will not see anything. Otherwise you should see the entries or at least the blocks of when reservations are even if you cannot see the actual entries. Oh be sure you are looking at a date that you know has data. Kind of silly but sometimes folks overlook the obvious when trying things out (eg: looking at a Saturday when noone has booked it).

I will again mention the caveat that when you replace the design of your R&R dB you must remember to go in with the proper ID and re-enable the 4 ‘system’ Agents in the R&R dB. Failure to do so will cause some of your features to not work properly (eg: updating the of the room booking limits or sending of autoreminders).

This works like a charm. Silly me I was going by the “Whats New” Documentation here:

which instructs you to add the application and select the $Calendar view.

I guess this means you have to add every single resource individually?

Still pretty cool feature to show the end users. Again thanks for your patience in explaining this feature.

Subject: May have regressed for 8.5.3 Client?

Not sure whether this may have regressed in the 8.5.3 client.

Following those instructions I get to see ALL rooms not just the one I added.

I’ve checked - the bookings database is using the 8.5.2 template

when you wrote "Selected $Calendar as the view to use. "? Perhaps thats the root cause of the problem for you.

You should only be adding entity names on the “Add a Calendar” dialog, not any kind of view names.
